Answers to Your Most Common Questions
Bookkeeping, admin, BAS & more – clear guidance, no stress.
This small business bookkeeping FAQ answers common questions about bookkeeping, BAS preparation, payroll and admin support for Australian small businesses.
Bookkeeping Basics & Getting Started
A bookkeeper helps small businesses stay financially organised and compliant by accurately recording income and expenses, managing cash flow, reconciling bank accounts, and preparing reports.
At Complete Bookkeeping & Admin Support, I go beyond just crunching numbers. I help you understand where your money is going, keep your records ATO-ready, and ensure you’re on top of deadlines like BAS, super, and payroll.
If you’ve been DIY-ing and it’s all feeling messy, that’s a sign you need help. Bookkeeping mistakes can lead to costly accountant fees, missed deductions, and ATO penalties – but with a professional on your side, you can avoid the stress and stay in control.
A bookkeeper handles the day-to-day financial transactions of your business, like data entry, reconciling accounts, tracking income and expenses, managing payroll, and preparing BAS.
An accountant focuses on the bigger picture: they prepare your tax returns, handle strategic financial advice, and ensure your business complies with tax laws.
At Complete Bookkeeping & Admin Support, I work closely with your accountant to keep your books clean and up to date, so tax time is smooth and stress-free.
A good bookkeeper will keep your records accurate, up to date, and compliant with ATO regulations.
Signs they’re doing things right include regular reconciliations, clearly organised files, BAS prepared on time, and financial reports that make sense.
At Complete Bookkeeping & Admin Support, I ensure full transparency – you’ll always know what’s been done, what’s coming up, and what’s outstanding.
I also work under the supervision of a registered BAS Agent for added assurance.
You don’t need to meet in person – all of my services are provided virtually. I work with clients across Victoria and Australia, utilising secure platforms such as email, Dropbox, QuickBooks, and Xero.
We’ll tailor communication to suit you – whether that’s email, Trello, or occasional calls — so you always feel supported, no matter where you are.
Prefer a personal chat? Phone or video meetings are available via our Bookings page.
Ongoing admin support provides regular, scheduled assistance each week or month, ideal for recurring tasks.
Ad hoc help is flexible, one-off support when you need it – no commitment.
At Complete Bookkeeping & Admin Support, I offer both options to suit how your business works best, whether it’s a consistent routine or as-needed bursts of admin help.
I’m not a registered BAS Agent (yet), but I am:
- Fully qualified in bookkeeping, payroll, and admin.
- Supervised by Registered BAS Agent Kelly Berger (BAS Agent #24752094)
- Bound by strict ethical standards, including the Australian Privacy Principles
- Fully insured for peace of mind
- Passionate about making small businesses feel less overwhelming
Ethical pricing matters to me. I don’t believe in charging the same rates as someone with years of BAS Agent experience. That’s why my pricing is fair and flexible – without compromising on support, care, or professionalism.
“My pricing reflects where I am in my BAS Agent journey – but my care, precision, and accountability are already full-scope. You’re not just saving money – your gaining support that evolves with your business.”
BAS, Compliance & Reporting
If you miss a BAS lodgement deadline, the ATO may apply failure-to-lodge (FTL) penalties and interest on any overdue payments. It can also trigger compliance reviews or limit your ability to access ATO payment plans.
At Complete Bookkeeping & Admin Support, I help ensure your BAS is prepared on time, reviewed by a registered BAS agent, and lodged accurately, so you can avoid the stress and stay compliant.
Start by using accounting software like QuickBooks, Xero or any appropriate accounting software to track your income and expenses automatically. Link your bank accounts, scan receipts, and stay on top of reconciliations.
Set aside time weekly or monthly for reviews. At Complete Bookkeeping & Admin Support, I help set up simple systems that reduce stress and make it easy to stay organised, so your finances don’t spiral out of control.
Yes, most accounting platforms like Xero, MYOB, and QuickBooks are user-friendly and designed for small business owners. However, software alone doesn’t teach accounting principles. If you’re unfamiliar with GST, payroll, or chart of accounts setup, it’s easy to miscode transactions and cause compliance issues.
For example, merchant fees on card payments may or may not include GST depending on the original purchase: milk is GST-free, but flavoured milk is not. That level of detail matters
At Complete Bookkeeping & Admin Support, I help set up your file correctly, offer training if you want to DIY, and can take over when needed, so your records stay accurate and your accountant doesn’t need to clean up costly mistakes.
To pay employees correctly in Australia, you must calculate gross wages, apply tax withholding (PAYG), track superannuation, issue payslips, and report via Single Touch Payroll (STP). You also need to comply with relevant Awards and Fair Work rules.
At Complete Bookkeeping & Admin Support, I process payroll accurately, track entitlements, and prepare everything for ATO lodgement — all while working under BAS Agent supervision. Note: I don’t offer Fair Work advice or determine pay rates.
Payroll, Super & Hiring Staff
STP (Single Touch Payroll) is how employers report employee wages, tax, and super to the ATO every pay run. Reports must be lodged on or before payday.
A superannuation clearing house lets you pay super to all employees’ funds in one transaction. If you have employees, both STP and a clearing house are mandatory. Super must be paid quarterly and meet SuperStream requirements.
The ATO’s Small Business Superannuation Clearing House is free if you have 19 or fewer employees or a turnover under $10 million.
To hire your first employee, you must register for PAYG withholding and set up STP-enabled payroll software. You’ll need to provide the Fair Work Information Statement, collect a TFN, verify work rights, and obtain their super choice.
You must also ensure super is paid quarterly, provide payslips, maintain records, and have workers compensation insurance.
Complete Bookkeeping & Admin Support can guide you through each step of setting up a compliant, stress-free payroll process.
Payroll costs vary based on how many staff you have, how often they’re paid, and your award or industry. You may pay per pay run, per employee, or via a monthly package.
At Complete Bookkeeping & Admin Support, I offer flexible pricing tailored to your business, with all work supervised by a registered BAS agent.

Admin Support & Virtual Assistance
Admin support can help you with inbox and calendar management, file organisation, data entry, document formatting, client communication, invoicing, and more.
At Complete Bookkeeping & Admin Support, I tailor virtual admin services to your business, from sorting messy email accounts to managing your digital files.
Whether you need ongoing help or ad hoc support, I make admin less overwhelming and more efficient.
Feeling overwhelmed by digital clutter, unread emails, and piles of paperwork? You’re not alone – and you don’t have to figure it out by yourself.
At Complete Bookkeeping & Admin Support, I help small business owners, parents, carers, and NDIS participants take back control with simple, practical systems.
Whether your inbox is out of hand or your files are scattered everywhere, we’ll tackle it together, one step at a time.
Yes – I offer compassionate, confidential admin support tailored to the needs of NDIS participants, carers, and families. From organising paperwork to managing invoices and preparing for plan reviews, I help make everyday admin more manageable.
I’m also a carer myself, so I understand the unique challenges families face. All services are provided virtually for flexibility and privacy.
Of course. At Complete Bookkeeping & Admin Support, I understand that small business owners, shift workers, carers, and sole traders often operate outside of standard 9–5 hours. That’s why I offer flexible support, including virtual services that don’t require real-time interaction.
You can send files or requests any time, and I’ll respond during my business hours with clear next steps and updates. How I make flexibility work for my clients:
- You don’t need to be available during ‘business hours’, just send documents, notes, or questions when it suits you
- I’ll respond with updates or questions within an agreed timeframe (usually within 1–2 business days)
- I use cloud-based tools like Dropbox, email, and online forms so there’s no need for in-person meetings
- If needed, we can schedule catch-ups outside standard hours — I’m a mum and carer too, so I get it!
- Whether you’re working late at night or juggling daytime appointments, we’ll work together to make an appointment that suits you
You don’t have to fit into a rigid schedule. If you’ve been putting off getting help because you work unusual hours or worry about availability, don’t stress.
I offer flexible, compassionate support that works around your reality, not the other way around.
You don’t need to meet in person – all of my services are provided virtually by default. Whether it’s bookkeeping, payroll, or admin support, everything can be handled securely online.
I use email, Dropbox, Sharepoint, digital forms, and accounting platforms like Xero and QuickBooks to manage your work efficiently and keep you informed every step of the way. This means I can support clients anywhere in Australia, without in-person meetings.
How it works:
- Fill in a digital client registration form and sign your engagement letter electronically
- Send your documents through Dropbox, Sharepoint or email — I provide the folder structure and guidance
- Communicate via email, Trello, or your preferred method — no awkward Teams calls unless you want one
- I’ll provide progress updates and summaries so you always know what’s happening
- Need help getting started with digital? I can walk you through it — no tech confidence required
Prefer face-to-face? That’s fine too. While I don’t travel widely, I can provide occasional in-person support for local clients within 15km of Brimbank, Victoria — such as collecting receipts or documents if needed. For most clients, though, virtual is faster, easier, and more flexible.
The bottom line: You can work with a professional bookkeeper or admin assistant from anywhere in Australia — no office visits required unless you’re close by and prefer that option.
Trust, Security & Working With Me
Yes — a bookkeeper plays a key role in preparing your financial records for tax time. While only a registered tax or BAS agent can communicate or lodge directly with the ATO, your bookkeeper ensures your accounts are accurate, up to date, and compliant.
At Complete Bookkeeping & Admin Support, I prepare your books, reconcile accounts, and work under the supervision of a registered BAS Agent who handles ATO lodgements. I also liaise with your accountant to make year-end smooth and stress-free.
To meet your BAS and GST obligations, you must keep accurate records of all income, expenses, and GST-related transactions. This includes valid tax invoices, receipts, bank statements, payroll records, and any documents that support your GST claims.
At Complete Bookkeeping & Admin Support, I help clients stay audit-ready by ensuring everything is organised, reconciled, and supported by proper documentation — no last-minute scrambling or guesswork required.
A trustworthy bookkeeper or VA should be transparent about their processes, use secure systems for file sharing, and have clear policies around privacy and confidentiality.
At Complete Bookkeeping & Admin Support, I take data security seriously. I use secure platforms like Dropbox for file sharing, email encryption when needed, and always follow a formal proof of identity process. I also operate under the supervision of BAS Agent Kelly Berger (#24752094), adding an extra layer of compliance and professional accountability.
As a business committed to best practices, I adhere to the Australian Privacy Principles (APPs), which govern the collection, storage, access, and sharing of personal information. Your information is handled in line with these national standards — with respect, care, and integrity.
What to look for in a trustworthy bookkeeper or VA:
- They provide an official engagement letter outlining confidentiality and scope
- They are insured and are happy to provide evidence of it
- They use secure systems for file sharing (not just standard email)
- They request ID to verify your identity (not just take your word for it)
- They can explain how your data is stored and who has access
- They’re upfront about what they do and don’t do (like BAS lodgments or Fairwork advice
- They’re willing to answer your questions and provide peace of mind
How I prioritise client privacy and security:
- Use secure cloud storage (Dropbox) and encrypted email when required
- Offer a clear engagement process and signed agreement before any work begins
- Require proof of identity from all clients – to protect both sides
- Never share your data with third parties unless required by law or explicitly authorised by you
- Comply with the Australian Privacy Principles (APPs) and work under the supervision of a registered BAS Agent
Whether we’re dealing with financial records or family admin, your data is treated with confidentiality, professionalism, and care – always.
Most of my bookkeeping, BAS, payroll and admin support is delivered virtually, so I work with clients anywhere in Australia. For local clients within a 15km radius of Brimbank, Victoria – including suburbs such as Brunswick, Bulla, Rockbank and Hoppers Crossing – I can also offer occasional in-person support, such as receipt collection or document drop-off if needed.
